Overview

Halifax Health is seeking a Patient Access Specialist I (Medical Records) for the Center for Oncology Department.

Summary

The Patient Access Specialist In Oncology is responsible for performing duties associated with Oncology Scheduling, Infusion Center Scheduling, Phone Screening, Patient Access, Order Transcription, Medical Records, and Intake of New Patients and must have understanding and work closely with registration, insurance, and authorizations and all clinical areas and departments. 

The Patient Access Specialist in Oncology is a Medical Records Role.  This position must be able to accurately obtain and document lab, pathology, genetics, outside clinical notes and all other information that is necessary for the patient oncology record.  Attention to detail and organization is required for this position.  This position is responsible for reminder calls and ensuring that all records are imported into the patient chart for all oncology clinic visits and treatment center visits.

 

Patient Access Specialists MUST interact in a customer-focused and compassionate manner to ensure patients and their representatives’ needs are met.  Outstanding customer service and patient experience skills are required.

Job Qualifications

  • High school diploma or equivalent required – associate or bachelor’s degree from accredited institution preferred.

  • Patient Access Specialist in Oncology Medical Records – one year of work experience required, preferably in healthcare or customer service environment.

  • Effectively communicating with individuals from varying socio-economic backgrounds and obtaining pertinent information

  • Ability to effectively operate office equipment (i.e., scanners) and use computer programs such as Microsoft® Word and Excel and ARIA and Meditech.

  • Organizational and time management skills necessary to complete multiple tasks

Job Duties and Responsibilities

  • Obtains daily work through systems, work lists and reports.

  • Contacts patients/families/physicians to obtain additional demographic/insurance information if needed.

  • Perform follow-up calls and reminder calls to verify patient appointments and verifies that all follow-up orders have been completed.  Documentation of all calls in ARIA.

  • Contacts outside clinical offices and medical facilities to obtain medical record information.

  • Responsible for assisting with registration information/ V Numbers and accurately entering information from Meditech into ARIA.

  • Thoroughly documents information and records in all appropriate computer systems.

  • Distributes, prints and/or scans all labs, pathology, outside records and uploads into the appropriate places in the ARIA record.

  • Directly communicates with physicians and clinical staff regarding patient information necessary for visit.

  • Responsible for sending and obtaining records from outside facilities.

  • Other duties as assigned.
